Executive Assistant to the CEO
ABOUT COLLIDE
We’re a small team in Houston, Texas building Collide—The GenAI platform for the oil and gas industry. Initially designed as a professional network and digital community for technical discussions and knowledge sharing, we have since built Collide’s enterprise-level AI-enabled solution. By integrating retrieval augmented generation (RAG) and advanced large language models (LLMs) with a specialized knowledge base, Collide’s AI-native platform retrieves and synthesizes data from authoritative sources to deliver accurate, cited, and energy-focused insights to oil and gas professionals.
JOB OVERVIEW
- We’re looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO. You’ll work closely with our existing EA and Chief of Staff, taking on key administrative responsibilities to help manage the CEO’s calendar, inbox, travel, and day-to-day operations.

PRIMARY RESPONSIBILITIES
- Email Management: Own the CEO’s schedule—prioritizing, coordinating, and ensuring meetings run smoothly. Monitor and manage their inbox, flagging urgent emails and drafting responses when needed.
- Scheduling & Coordination: Arrange internal and external meetings, often across multiple time zones.
- Travel Planning: Handle all aspects of travel for our CEO—flights, hotels, ground transportation, and itineraries—ensuring seamless logistics.
- Personal Administrative Support: You’ll be helping our CEO with personal responsibilities such as planning dinners, ordering household supplies, etc.
- C-Suite Support: This position may also entail light support for other members of our executive team, such as scheduling meetings and travel.
QUALIFICATIONS
- 3-5 years experience supporting a member of the c-suite, such as CEO or COO. Bonus points if you have experience working in oil and gas and/or at a high-growth startup, though not required.
- Must be well-versed in administrative workflows and have the ability to learn our tech stack:
- Slack
- Notion
- Gmail
- Ramp
- Hyper-organized: You love structure, checklists, and keeping things in order. Nothing slips through the cracks.
- Proactive & Resourceful: You anticipate needs before they arise and take action without being asked. You’re also comfortable working independently.
- Excellent Communicator: Strong writing skills, professional yet friendly tone, and the ability to represent the CEO effectively.
- Time Management Expert: You can juggle multiple priorities without getting overwhelmed.
- Discretion & Trustworthiness: Handling sensitive information with confidentiality is a must.
